We conduct annual performance evaluations for employees and contracted lawyers across multiple countries. Currently, tracking evaluation deadlines, sending reminders, distributing forms, and monitoring completion is handled manually and requires significant administrative effort. All staff and contracted lawyers have Microsoft 365 accounts, and we want to centralize and automate these processes using Microsoft Lists, Forms, SharePoint, Outlook, and Power Automate.
The volunteer will:- Create and configure a centralized Microsoft Lists/SharePoint list that stores employees and contracted lawyers, their supervisors, and annual evaluation due dates.- Build Power Automate flows to send scheduled email reminders to individuals and their supervisors beginning three months before a due date, with additional reminders as deadlines approach and a notification on the due date.- Configure automated creation and updates of Outlook calendar events for both the individual and their supervisor, including advance reminders and automatic updates when evaluation due dates change.- Set up Microsoft Forms for self-evaluations and supervisor evaluations and automate distribution and response capture.- Implement automated status tracking in the Lists/SharePoint list so that form submissions update evaluation status, stop outstanding reminder emails, and adjust or cancel calendar reminders when evaluations are marked complete. We are looking for a volunteer with Microsoft 365 automation expertise (Power Automate, SharePoint/Lists, Forms, and Outlook) to design and implement these solutions.

Every day, millions of people languish in jails around the world because they cannot afford a defense lawyer. The ILF is a non-profit organization founded to address this global crisis in access to justice. For nearly two decades, the ILF has fought to guarantee high-quality legal representation for everyone arrested or detained. Around the world, we provide quality criminal defense services and build sustainable, effective legal aid institutions. Currently, we work in Afghanistan, Georgia, Nepal, Myanmar, Palestine, and Tunisia and provide technical assistance worldwide.
